Todays scheduling systems require users to click-through a mind numbing amount of drop-down menus to perform even basic tasks. As a result, nurses and nurse managers use manual work-arounds (including excel sheets and, yes, pen & paper) to perform tasks.
Bottlenecks
Nurse Managers are innundated with SMS texts, emails and office “drop-ins’ by nurses asking for schedule changes or sharing personal updates. They then have to record, research, validate, and execute these requests. Every day, across the entire unit.

Large health care systems routinely staff 24/7 support centers that work with hospital leaders to forecast shortages, ensure staffing ratios are met, manage call outs, and generate reports. If scheduling software did its job, these (expensive) divisions would not be necessary.

When scheduling systems can't source internal shift coverage, staffing agencices are used, costing 200% or more than staff RNs. That's why most large health systems operate (24/7, expensive) support centers to recruit internal resources to cover shifts. Meanwhile, about 18% of RNs leave their job each year citing work-life balance (schedules) as a main reason, costing health systems an average of $56,300 to replace each RN.

I'm close with a few other nurses that I'm comfortable asking for help. But if they cant cover a shift for me (which happens), I'm stuck. Then I just text my nurse manager to find someone to cover.
Nurses are masters of developing work-arounds to make things easier, mostly becuase it takes so many steps to do anything in our scheduling system. But every nurse manager may do it a different way, which is really inefficient across all units and all hospitals within the system.
I spend 4-6 hours balancing a shift after self-scheduling closes. It's the bain of my existence. I toggle between multiple screens, excel sheets, notes and SMS texts I recieve from my team. Isn't there some kind of AI that can do this for me?
If something helped me spend less time on screens and more time with my team and patients, I'd love it. I spend so much time in my office with no windows looking at multiple computer screens...its kind of soul cursing at times.
